How to maintain Ministers
Ministers are used in eCase for Ministerial Correspondence and Parliamentary Question case types where correspondence is addressed to a minister or responded to by a minister. The Ministers screen will allow you to:
- Add a ministerial role
- Add a new Minister
- Change the name of the ministerial role
- Change the current role holder
- Edit the role holder's details
- Mailboxes on the ministerial role screen
- Maintain a Private Office team
- Archive a ministerial role
- Resort a ministerial role

Search for Ministers
You can use the Case Search screen to search for cases that have been sent to a Minister, or for cases for a specific Responding Minister or Ministerial role.
For example, each Ministerial Role will have a start date but there can be many members occupying the role over time. eCase allows you to search for cases based on the Ministerial Role or the member that has occupied the role at a given time. Likewise, if a member moves between roles in a department you can track down all cases that they have dealt with regardless of role.
Use the Advanced tab in the Choose Fields option to add either the Responding Minister or Sent to Minister options. The search results can be downloaded into an Excel spreadsheet.Digest Emails
eCase can send you statistics and case summaries on email with Digest Emails. Digest emails can be set up so that all of the organisation can subscribe to them, or you can set up your own personal digest emails. For Ministers, there are two relevant email sections:
- Ministerial Correspondence Location (MCs)- provides statistics on how many MCs are with Ministers for signing and how many are with drafters. It will show statistics on whether the MC is on time or Overdue.
- Team PQ List – provides a list of Parliamentary Questions (PQs) per team, a copy of the question along with the due date, the Minister assigned to respond to the PQ, along with the MP who has requested the PQ.
