Public Digest emails
For Public Digest Emails, an additional section on Distribution Groups becomes available. You have the ability to:
Download a distribution spreadsheet
To view the spreadsheet, click on the Download spreadsheet link. The spreadsheet will show you:
- the name of the people who have subscribed to the digest email,
- their email address,
- whether they have opted in or out of the digest email,
- who opted them in or out,
- the date and time they opted in or out and
- if they have copied the public digest email so that they can view or modify the fields in their own personal digest email.
Individual Opt-Ins
View who has individually subscribed to the public digest email. Click on the Individual Opt-Ins link. The Individual Opt-Ins pop up window appears. The name of the person subscribed to the list will appear along with their email address.
To remove an individual from the Public Digest Email, follow the steps below:
- Select the Edit link next to the Distribution Groups field.
- Select the Individual Opt-Ins link and select the Remove link next to the persons name. The person will be taken off the Individual Opt-Ins pop up window.
- Select the Back button to get to the Distribution Groups pop up window and select the Save button.
NOTE Only team members who have the Maintain Public Digest Emails privilege on their user account will be able to see this information and remove people off the public digest email.
Add to Distribution Group
To add a group distribution list or an individual from a distribution group follow the steps below.
- Select the Add to distribution link, or select the Edit link
next to the
Distribution Groups field. The Distribution
Groups
pop up window appears.
- Select the Role drop down arrow to select a Distribution Group.
- You then have the option to select the Distribution Group for a Parent Case Type, or an individual Case Type. If you select a Parent Case Type, the Case Type field will be hidden. If you want to choose a Role for different case types, then, follow steps 1-4 for each case type.
- Select whether to choose the Whole group or Individuals from group.
If… Then… You select Whole group - Ensure that the Whole group field is selected in the Add section.
- Select the + Add to groups button.
- To complete, select the Save button.
NOTE To delete a distribution group, select the delete dustbin icon.If an individual on the distribution group would like to opt out of the email:
- Select the name of the distribution group
- Select the Opt Out link
- Select the Back button to get to the Distribution Groups pop up window and select the Save button.
You select Individuals from group - Ensure that the Individuals from group field is selected in the Add section. The People field becomes available.
- Select the drop down arrow next to the People field and select the individuals you would like to add to the distribution list.
- Select the + Add to groups button.
- To complete, select the Save button. The individual is added to the Individual Opt-Ins link.
If the individual would then like to opt out of the email:
- Select the Individual Opt-Ins link
- Select the Remove link
- Select the Back button to get to the Distribution Groups pop up window and select the Save button.
