Mailbox Type

There are a number of Mailbox Types that can be set up in eCase to configure who you can send an email from or to. The table below explains the different mailbox types available.

Mailbox Type Description
BCC Responses To The email address entered for this mailbox type will be blind carbon copied (BCC) onto all response emails. It can be restricted by case type, but not to team.

On the Organogram, this will appear in the Mailboxes tab at the Organisation-wide mailboxes level.
Copy Assignment Emails to this address The email address entered for this mailbox type will be copied into all assignment emails. It can be restricted by case type and team. The cascade feature is available, but is not automatically selected.

NOTE this mailbox type will only work if your eCase has been configured to use it.
Copy Contribution emails to this address The email address entered for this mailbox type will be blind carbon copied (BCC) into the contribution emails. It can be restricted by team and case type. The cascade feature is available but is not automatically selected.

Copy QA emails to this address
The email address entered for this mailbox type will be blind carbon copied (BCC) into the QA emails. It can be restricted by team, case type and QA type. The cascade feature is available but is not automatically selected.

CRU Inbox Used for pre-populating the To field on a referral email to the CRU for eCase police customers. Only one email address can be added and it will be set as the default CRU email address. You cannot restrict by case type or team.

On the Organogram, this will appear in the Mailboxes tab at the Organisation-wide mailboxes level.
Hub Inbox If created, the email address for this mailbox type will be sent the Hub Allocation email. If an email address is not added, the Hub Allocation email will continue to be sent to all of the hub coordinators for that team. The email address can be restricted by team and case type. The cascade feature is available but is not automatically selected.
Notify on QA Completion When a QA request has been completed, if your eCase is set up to receive email confirmations, the Case Owner will receive an email to confirm that the QA request has been completed. If you would like this email confirmation to go to a team mailbox instead, then the Notify on QA Completion mailbox type can be added. All complete QA emails for the team, case type and QA type specified will then go to this team mailbox rather than the individual Case Owner's own email.

Notify on transfer out assignments This email address will be notified when a case has been sent to the transfer out stage, whether using the Allocate (Transfer Out) button or the Response Type of Transfer Out. You cannot restrict by case type or team.

On the Organogram, this will appear in the Mailboxes tab at the Organisation-wide mailboxes level.
Receive Group QAs This email address will receive QA request emails when the Send to All option is selected in the Recipients field. This is available for a number of QA types, for example Senior Manager QA, Head of Unit QA, Press Office QA, Team Lead QA. It is based on team, case type and QA type.

NOTE this mailbox type will only work if your QA types have been configured to use it. You may still see Send to All, but the email will go to all individuals with the relevant QA privilege on their user account.
Receive Team Contributions
The email address for this mailbox type will be sent the contribution email if 'Team' is selected in the Recipients field on a new contribution request. If an email address is not added, and 'Team' is select in the Recipients field, the contribution email will be sent to all of the contributors for that team. The email address can be restricted by team and case type. The cascade feature is available but is not automatically selected.
Send On Behalf Of The email address used for this mailbox type will be used for sending emails from eCase in either the Send Email from or Address Replies to field. The email address can be restricted by team and case type. The cascade feature is available but is not automatically selected.

If you are a central team, you will create this mailbox type with the top level team and the cascade this mailbox field selected. If a second Send On Behalf Of mailbox type is added for a lower level team, that email address will be defaulted for cases assigned to that team. The higher level Send On Behalf Of mailbox will be available and can be selected if required.
