How to edit a Mailbox

Once a mailbox has been created, you can add new rules to the email address being used, delete rules, amend the email address and change the sender name.

To edit a mailbox, follow the steps below.

  1. Go to the More menu and select Mailboxes under the Settings column. The Mailboxes screen appears with the search criteria at the top of the screen and the mailbox results at the bottom of the screen.
  2. Use the search criteria to find the email address to edit. The list of mailboxes shown on the screen will be reduced and match the search criteria chosen.
  3. To access the mailbox rules, select the email address.
  4. If you want to... Then...
    delete the mailbox so that it is no longer used - Select the Delete this mailbox link next to the Mailboxes title at the top of the page.
    - Select the OK button to confirm the deletion. The mailbox details and rules will be deleted from eCase.
    change the email address In the Email Address field, amend the email address details, or delete and re-enter a new email address.
    change the name of the mailbox In the Sender Name field, amend the mailbox name, or delete and re-enter a new name.
    add a new rule to the mailbox If an existing email address is to be used for additional mailbox functions, select the Add a mailbox rule button to add a new Mailbox Type onto the existing email address. For example, you may use the email to send emails from eCase using the Send On Behalf Of mailbox type, but you may then want to use the email address to receive team contributions by using the Receive Team Contributions mailbox type. Both can be added as a rule to the same email address.
    remove a rule from a mailbox If the email address is no longer going to be used for a specific Mailbox Type, select the Remove link next to that rule.
    update a rule for the mailbox Amend any of the fields (team, case type or QA type) with new information. If you want to delete the information in the field, select the x at the end of the field. The field will default back to All teams, All case types and All QA types. Select the drop down arrow to choose a specific team, case type or QA type. If the change involves adding the email address to multiple teams, case types or QA types, then additional rules may need to be added using the
    Add a mailbox rule.
    change the cascade option on the rule - To cascade the mailbox rule to teams below the one chosen in the rule, select the Cascade this mailbox to teams below this in the organogram tick box.
    - To stop the mailbox rule from cascading to teams below the one chosen in the rule, deselect the Cascade this mailbox to teams below this in the organogram tick box.
  5. Save the updated details by selecting the Save button.

    NOTE to exit the mailbox without making any changes, select the Cancel link.
