Case Reassign

Case Reassign allows you the ability to view cases and their details, specifically, the case owner, the target dates and the case timelines. Once reviewed, you have the option to reassign multiple cases in one go to another user on eCase. There are two ways to do this:

- Browse the Organisation Structure.

NOTE if you have the Bulk reassign cases privilege on your user account, you will be able to reassign multpile cases. You will also see the Reassign Cases link in the Case Search screen.

To reassign a case from the Case Reassign screen, follow the steps below.

  1. Sign into eCase. Refer to the How to Sign into eCase section.
  2. Click on the eCase More menu.
  3. Select Case Reassign in the Management menu. The Case Reassign screen becomes available. You can select one or more of the search criteria to be more specific with the search results. The fields below are shown in Advanced Mode.

    Field Description
    Case Reference Enter in the case reference number that you would like to reassign. You must enter in the format xxxYYYY/nnnnn, where xxx is the type of request, for example freedom of information, then the year and then the unique number in that year. For example a freedom of information request for 2016 would be: FOI2016/00048. You can enter less information, for example just FOI or FOI2106 or FOI2016/0004 and the system will return a list of cases that match that criteria. It is advisable to be as specific as possible.
    Groups/Teams Click on the drop down arrow next to the Groups/Teams field. A list of the teams and the number of open cases assigned to that team will be available (shown in brackets).
    Case Owners Click on the drop down arrow to search for a specific case owner and their open cases.
    Case Title Enter in all or part of a case title.
    Stages Use stages to search for cases that are at a particular stage in the process. For example awaiting clarification, awaiting allocation, case draft, hub allocation, case rejected. One or more stages can be chosen.
    Drafter Target You can use the drafter target from and to fields to search for cases that have a drafter target within those dates. Click on the calendar icon to select the dates.
    Case Target You can use the case target from and to fields to search for cases that have a case target within those dates. Click on the calendar icon to select the dates.
    Audit Event Place a tick in the tick box next to the Audit Event field for additional search fields to be made available. All search fields must be entered for the Audit Event search to work.
    · Event – Select an event you would like to search for cases for, for example Case Created
    · Has – select whether the audit event has Occurred or Not occurred.
    · Since – select a time frame: Today, Yesterday, Start of the Week or Start of the Month.
  4. Once the search criteria has been selected, click on the Search button to run the search. The results appear at the bottom of the screen.
  5. To review a case, click on the Case Ref number. This will take you to the Case Details screen.
  6. From the Case Reassign screen, select one or more of the cases by ticking the tick box next to the Case Ref number. If you would like to select all of the cases, click on the Select All button. To undo the selection, click on the Select None button.
  7. Once cases are selected, click on the Reassign Selected button. The Bulk Reassign pop up window appears where it reminds you how many cases you have selected for reassignment.
  8. If there is only one team assigned to all of the cases, it will automatically be pre-populated in the Set Group/Team to field. If there are multiple teams assigned to the cases or you would like to change this team, then click on the drop down arrow and select a new team.
  9. Select the new case owner by clicking on the drop down arrow next to the Set Drafter as field.
  10. Tick the Email Assignee tick box to send a consolidated email of all of the reassigned cases to the new case owner.
  11. If you would like to add a case note to all of the reassigned cases and include it in the email, tick the Add Case Note tick box. The Case Note field becomes available.

    NOTE if you have used the [[CASE_NOTE]] mail merge field in the Bulk Case Assignment email template, the comment added in the Add Comment field will be added to the email sent to the recipient.
  12. Click on the Reassign button. The reassigned message appears and the cases are now in the new owners Workbasket.
