Browse the Organisation Structure
On the Case Reassign screen, click on the Browse the Organisation Structure link on the left menu. The Organisation Structure Case Browser screen appears. This allows you to see at a glance how many cases are open per team. Within the team you can see how many of the case target dates are overdue along with how many of the drafter targets are overdue.
NOTE the number of cases can be seen in the (brackets).
To view the cases, click on the name of the teams to expand the different levels in the organisation structure, then click on the relevant button Open, Case Overdue or Drafter Overdue.
For the Case Overdue and Drafter Overdue buttons, if there is more than one case showing, the Case Officer field becomes available. This allows you to narrow down the search by selecting a specific user.
The coloured circles will change as the percentage of cases become overdue. It is based on the case target date and will go from green through amber to red.
Follow the steps below to reassign cases from the Organisation Structure Case Browser screen.
- To review a case, click on the Case Ref number. This will take you to the Case Details screen.
- From the Case Reassign screen, select one or more of the cases by ticking the tick box next to the Case Ref number. If you would like to select all of the cases, click on the Select All button. To undo the selection, click on the Select None button.
- Once cases are selected, click on the Reassign Selected button. The Case Reassign screen appears.
- Click on the Reassign Selected button. The Bulk Reassign pop up window appears where it reminds you how many cases you have selected for reassignment.
- If there is only one team assigned to all of the cases, it will automatically be pre-populated in the Set Group/Team to field. If there are multiple teams assigned to the cases or you would like to change this team, then click on the drop down arrow and select a new team.
- Select the new case owner by clicking on the drop down arrow next to the Set Drafter as field.
- Tick the Email Assignee tick box to send a consolidated email of all of the reassigned cases to the new case owner.
- If you would like to add a case note to all of the reassigned cases and include it in the email, tick the Add Case Note tick box. The Case Note field becomes available.
- Click on the Reassign button. The reassigned message appears and the cases are now in the new owners Workbasket.
