How to archive a Field Value Option

If there is an option in the set that your organisation no longer uses, you can remove that option. The option will no longer appear in the drop-down list on the relevant field on Case Details. The option is not deleted, but archived, so that data captured on older cases remains for reporting.

To archive an option, follow the steps below.

  1. Go to the More menu, then select Field Value Options from the Settings column.
  2. Select the title of the field value option set where you want to archive an option. All of the options for that set will be shown.
  3. Select the Archive dustbin icon next to the options name. The option will be removed from the set.
  4. To save the option set, select the Save button. You will be taken back to the Field Value Options screen. The changes made to the option set will now show in the drop-down list for that field on Case Details. Any existing cases that used the archived option will remain for future reporting.
  5. To view archived options, select the Show archived link next to the Add a new option button. Active and archived icons will appear next to each option within the set. To restore archived options, select the Restore arrow icon. The option icon will change to show it is now active. To save the set, select the Save button. The restored option will appear in the drop-down list on the relevant field on Case Details.
