Secure Share

Secure Share allows you to securely send files from eCase. It allows you to send multiple and large files in one go so that the correspondent can view and download from a secure link.

NOTE You will only see the Secure Share section on the Prepare a Response screen if it is set up for your Organisation and the case type you are processing.

If Secure Share is set up for your case type, when you select Email in the Response Method, the Secure Share section will appear on the Prepare a Response screen.

The Secure Share section will allow you to confirm how you want to send the response to the correspondent.

Attachment Delivery Description
Email If Email is selected, the Send Response email template will appear. You can complete the email template as normal and attachment the response files using the Attachments section. The files will be attached to the email and sent via eCase.

NOTE: the combined size of the file attachments cannot exceed 10MB - 20MB as the email will fail to send. The maximum size allowed is dependent on the correspondent's email account.
Secure Share When Secure Share is selected, several different options become available for you to select.

Secure Share Authentication

  • Verification - you will be asking the correspondent to verify who they are before they can get access to the files you have sent to them. If the correspondent has provided you with a telephone number, and these details have been entered in the Correspondent Details for the case, then they will be asked to verify their identity before being given access to the Secure Share link. If no telephone number exists on the case for the correspondent, they will be asked to verify their identity by email. The correspondent will receive a 5 digit Security code which they will enter on the Enter your security code screen.
  • No Verification - the secure link can be sent out in the email, but the correspondent will not be asked to verify their details. This option can be used if you want to send a large file that is not sensitive. The secure link is unique and will not be able to be guessed.

Link Expiry Date

  • The link expiry date is set to a default of 20 days. After 20 days, the Secure Share link will no longer work and the correspondent will not be able to access their files. This date can be changed manually if needed:
    • select the calendar icon. The calendar will open in a pop-up window with the expiry date highlighted.
    • select the new link expiry date. The calendar will close and the new date will be populated in the Link Expiry Date field.

No Attachments If No Attachments is selected, you are saying that you have no files to attach onto the email you are sending to the correspondent. Complete the Send Response email template as normal. You will not be able to select any files in the Attachments section.
