Response Method

Once you have a complete response, you will need to confirm how you are going to send the response to the correspondent. To do this, expand the Response Method section.


The Respond By field is pre-populated from the Reply Preference field on Case Details.

If needed, the Respond By field can be changed. A warning message will appear telling you what the Respond By method is for the case.

Depending on which option you choose, the Send Response section will change, or other options will become available.

Respond ByDescription
LetterIf you choose to respond by letter, the Send Response screen will default to a comments box and a date sent field.
PhoneIf you choose to respond by phone, the Send Response screen will default to a comments box and a date sent field, the same screen as the respond by letter.
EmailIf you choose to respond by email, a number of different options will become available based on your eCase setup.
  • Sending a response by email from eCase
    • select the Email option. The Send Response screen will default to a Case Response email template for you to complete, preview and send.
  • Sending a response offline
    • select the Email option
    • then select the Offline Response tick box of Respond by email outside of eCase.
      NOTE: this will only be available if your eCase is configured to allow emails to be sent outside of eCase.
    • the Send Response screen will default to a comments box and a date sent field, similar to Letter and Phone options.
  • Sending a response by Secure Share
    • select the Email option. The Secure Share section will appear.
      NOTE: this will only be available if your eCase is configured to allow you to send emails via the Secure Share feature.
