Workbasket screen

The main Workbasket area provides you with an overview of the cases that are assigned to you.

The table below will describe each area of the Workbasket.

Field

Description

Case Ref

Each request logged onto eCase will be provided with a unique reference number in the format xxxYYYY/nnnnn, where xxx is the type of request, for example freedom of information, then the year and then the unique number in that year. For example a freedom of information request would be: FOI2016/00027

Above the case reference number, icons may become visible.

Icon

Description

Correspondence description icon Hover over the icon to see the comments added into the Correspondence Description field.
Round robin icon The case has been identified as a Round Robin.
Public interest test icon A Public Interest Test (PIT) extension has been applied to the case.

Internal review icon

The case has been forwarded for an Internal Review.

Information commissioners office icon

The case has been appealed to the Information Commissioner’s Office (ICO appeal).

Tribunal icon

The case has been sent to Tribunal.

Case Type / Case Title

Type of case, for example freedom of information or environmental information requests with a description of the case from the Case Title field.

Correspondent

The name of the person/organisation requesting the information.

Case not yet allocated.

Open

Case has been opened and allocated.

Open (Reopened – case data update)

Case has been re-opened for data updates.

Open (Reopened – case processing restarted)

Case has been re-opened for further reviews or appeals.

Closed (Complete)

The case has been closed.

Target: 12 MAY 2016

Due date comes from the target date on the Case Details screen. It is when the response is due back to the correspondent.

Assignee

For any Workbasket tab that is not your My Work tab, the Assignee column becomes available. This identifies which team member is currently allocated to the case.

Description

Unassigned: Awaiting Allocation The case is waiting to be assigned to a member of the team. It has a Case Reference number, and will appear in the Awaiting Allocation tab on the Workbasket.

Unassigned: Awaiting Clarification

The case is not assigned to a member of the team as more information is required from the correspondent prior to the case being investigated.

Unassigned: Human Resources Hub Coordinator

The case has been assigned to a Hub coordinator, in this case to the one in Human Resources.

The case is closed, so no team member is assigned to the case.

Danny Drafter

The name of the team member the case is assigned to.

Information

The stage at which the case is at. It will indicate the tool bar options that are available on the screens as the case progresses.

Description

Create Case

The case is in a draft format and has not been allocated yet.

Create Draft

The case has been allocated to a drafter and is awaiting a response.

Create Draft *CONs outstanding (3/4) The case has been allocated to a drafter and there are contributions outstanding on the case. Provides a date of when the earliest contribution is required by.
Create Draft *QAs outstanding (1/1) The case has been allocated to a drafter and there are quality assurances (QA) outstanding on the case. Provides a date of when the earliest QA is required by.

Hub Allocation

The case has been assigned to a Hub coordinator.

Case Rejected

The case has been assigned to the wrong Hub coordinator and has been rejected so that it can be reallocated to the correct team.

Awaiting Allocation The case is awaiting to be allocated to a team member. The case will be on the Awaiting Allocation tab.

Awaiting Clarification

More information is required from the correspondent prior to the case being investigated.

Contribution RequestWill appear on the Workbasket of a team member who has been requested to provide information via a contribution. The date of when the contribution is due will also be present.

Peer Review

Will appear on the Workbasket of a team member who has been requested to QA a case. The date of when the QA is due will also be present.

Data Update

The response has been sent to the correspondent and the case is waiting to be closed.

Unknown Stage

The case has been closed.

Internal Review The correspondent has requested an internal review of the case.

ICO Appeal

The case has been sent to the Information Commissioner’s Office to investigate the request.

Tribunal

If the public authority or the correspondent want to appeal against the ICO’s decision, it will go to a tribunal.

Actions The actions column will provide you with various levels of access to the case.

Actions

Description

Resume The case has started to be created, but a Case Reference number has not been allocated yet. Click on the Resume link to continue to enter information into the case and allocate a Case Reference number. Once a Case Ref is allocated, the link will change to Manage.

Manage

Click on the Manage link to access and work on the case.

View Case

Click on the View Case link to view the case in view-only mode.

Take Ownership Click on the Take Ownership link to take control of the case. Once you have ownership, the actions link will change to Manage and the case will be in your My Work tab on the Workbasket.
New Highlights a new case in your Workbasket.
Target clocks Two clocks. The first highlights the time available on the case, the second highlights the time available for the drafter to gather all of the information required to respond to the case.

Internal Review target clock

When an Internal Review is allocated to you to investigate, an Internal Review clock appears showing you the 20 working day service level and the number of days remaining to investigate the Internal Review.
