Create an Internal Review

An internal review of the case can happen when the case is open or closed. For example, if the target date set to respond to the correspondent is overdue and the correspondent is requesting a reason for the delay, or if the case is closed and the correspondent has queried the details provided in the case. A number or reason types can be selected.

- Non response – a correspondent has sent in a FOI request and they have not received an acknowledgement or additional information on their request.

- Timeliness of reply – the correspondent is chasing the response of their FOI request as the 20 day target has passed.

- Information withheld – where some or all of the information requested is withheld for a justifiable reason.

- Information not held – the information requested is not held by the council.

To create an internal review, follow the steps below.

  1. Sign into eCase. Refer to the How to Sign into eCase section.
  2. An internal review can be requested for an open or closed FOI case.

    If you want to start an internal review case for… Then…
    An open case · Go to your Workbasket and click on the Manage link for the relevant case.
    · Or search for the relevant open case using the Case Search or Search field.
    A closed case · Search for the relevant closed case using the Case Search or Search field.
    A closed case that is reopened so that case details can be amended if required. See the Reopen a case section.
  3. Once in the case, click on the Reviews & Appeals link on the left menu. The Review & Appeals screen appears where you can select what review or appeal you would like to create.
  4. Click on the New Review/Appeal button and select the Internal Review link.
  5. Confirm that you want to create an Internal Review case by clicking on the OK button. A new window will open with some of the Internal Review details pre-populated from the original FOI case. The linked FOI case reference can be found in the Original Case field.

    NOTE The Internal Review # icon will appear above the FOI Case Reference number on the Workbasket and the progress of the Internal Review case can be seen by clicking on the Reviews & Appeals link.
  6. The Internal Review case will follow the same work flow process as an FOI case. Review and complete the relevant Case Details.
  7. In the Reason field, select the reason for the review.

  8. In the Case Documents area, attach the documentation that has come in from the correspondent requesting the review of their FOI case.

    Use the Attach new files... button, or drag and drop a file in to the Case Documents area.

    Complete the Attach New Files pop up window and click on the Attach files to case button.
  9. Once all of the Case Details have been completed, click on the Allocate button. Refer to How to allocate a case.
