New Record-only Contribution
To record a contribution that has come directly to you, use the New Record-only Contribution button.
Follow the steps below to record the information.
- Sign into eCase. Refer to the How to Sign into eCase section.
- Go to your Workbasket and click on the Manage link, in the Actions column, that you have received contribution information for.
- Click on the Contributions/QA (0) link on the left menu. The Contributions & Quality Assurance page appears.
- Click on the New Record-only Contribution button. The Record-only Contribution pop up window appears.
- Select the Type. This can either be a request for information or a request
to draft
a response to the case.

- Depending on how your organisational structure is set up, you may see two fields, one for Department and one for Team, or just one for a Team field. The fields will be automatically pre-populate using the information from Case Details. If the contributor works for a different part of the organisation, click on the drop down arrows and select the relevant team.
- Once the Team or Department and Team sections have been completed, the people able to contribute from these areas will appear in the Contributor drop down list. Select the Contributor.
Contributor Icons Description Team icon. Information will have come from the whole team. The contributor is active on eCase at the time of sending the contribution request. The contributor is logged into eCase, but are not active at the moment. The contributor is registered on eCase, but is not currently logged into the system. The contributors details have been added to eCase, but they have not registered on eCase.
NOTE If the Contributor does not have a user account on eCase, start to type in their name or email address in the Contributor field. Select the Contributor's details from the green manual banner.
The Contributor Name (mandatory) and the Contributor Email (optional) fields become available.
Enter the relevant information. - Copy and paste, or re-type the text you initially sent to the Contributor requesting information for the case into the Referral Text field.
- In the Due Date field, select the date when the contribution request is due back. Use the calendar icon to select the date.
- Optional. If you would like to record the contributor’s response, enter the details in the Referral Response field.
- Optional. Enter the date the response was received by using the calendar icon to select the date in the Response Date field.
- Attach any relevant documents using the Choose file... link, or drag and drop the file into the Attachments area.
- Click on the Save button. The request is logged as a record-only contribution and the Contributions/QA link on the left menu indicates the number of contributions requested Contributions/QA (2).
If you do not enter any details in the Referral Response field, the request stays and the three response buttons become available on the request. Use these to complete the contribution request when you have received the information you required from the contributor.
1. Chase response - send an email to the contributor to chase the information requested.
2. Enter response yourself - enter the information directly into eCase if you have received it via another method.
3. Close without response - close the contributor request without adding in a response.
If you received the response from the contributor and have completed the Referral Response field, then the request will automatically be .
A message will then appear, indicating that the contribution has been recorded. - If you would like to use the attached document as a response document, click on the drop down arrow that is next to the document and select the Set as response document link.
- Click on the OK button if you would like to set the document as a response document. The drop down link changes to a Response document icon. This indicates that the document attached to the contribution has been selected to be a response document for the case.
NOTE if multiple contributions have been sent out, and the name of the attached document is the same, eCase will ask you if you would like to replace the current version of the response document with the new version of the file or set this document as a new response document. If you do not want to do either, the document will be saved onto the case as a Contribution/QA Document.
