How to send Email Responses for a Batch

Once cases have been added onto the batch, the next step is to send out the responses via email. Follow the steps below.

  1. To access Batch Responses , go to the More menu and select Batch Responses under the Management section. Click on the name of the batch that you would like to send email responses for.
  2. When the batch opens, click on the Email Response tab. In the workflow filter, all the cases with a reply preference of email will be in the awaiting response stage.
  3. To send email responses, initially select the cases you would like to send an email response to. Either click on the All link to select all the cases, or place a tick in the </strong> next to the case you would like to send the response to.
  4. Click on the Send Response for selected button. The Responding pop up window appears with a preview of the first cases mail merged details.
  5. Click on the Send button. The workflow will move to the workflow stage of responded.

    NOTE Click on the Refresh link to check which cases have been successful.
  6. Select the cases where the response has been sent and you would now like to close the case.
  7. Click on the Close selected button, then the Refresh link. The case will now be closed and can be viewed in the Closed workflow filter.

    NOTE The email response can be seen at the bottom of the Case Details page under the Correspondence section along with the Case Close Details.
